It’s like working in sprints, so you don’t get tired or bored, and you’ll be amazed at how much you get done. It’s called the Pomodoro technique because the inventor’s timer happened to look like a tomato! 
  • Flowtime: If you don’t like strict timers, Flowtime is for you. Pick a task, start working, and keep going until you feel tired or distracted. Then, take a break for as long as you need. Write down when you start and stop to see how long you worked. It’s all about working at your own pace and taking breaks when needed.
  • Time Blocking: With time blocking, you plan your day by setting aside specific blocks of time for certain tasks. For example, you might block out 9–10 a.m. for emails, 10–12 for your main project, etc. This way, you always know what you should be working on and are less likely to get sidetracked. Time blocking has been shown to increase task completion rates by 25%!
  • Time Boxing: Time boxing is like making an appointment with yourself for each task. You decide ahead of time how long you’ll spend on something—maybe 30 minutes on social media or an hour on paperwork—and when the time’s up, you move on, even if you’re not finished. This helps you avoid getting stuck on one thing all day and keeps your schedule on track.

Keep Your Calendar Clean & Updated

It’s no secret that cluttering your calendar with overcommitment is a recipe for burnout. But how do you stop? The first step is to remind yourself of your priorities. If you’re trying to get the most out of your day, that starts with carefully choosing what’s most essential and setting aside time. 

  • Learn to Say No: Non-essential commitments eat up your time and divide your focus. We’re socialized to say “yes” for many reasons: to be polite, build relationships, or fear of missing out on opportunities. Get comfortable saying no more often and keeping your calendar under control. 
  • Book Time for Everything: Any task that takes 30 minutes or more should be booked on your calendar. You’re more likely to get a task done when you schedule it. When you start writing down everything you want to get done, it’s easier to prioritize and manage your time.

Prioritize Tasks Daily

We all know that prioritizing tasks is key. But it’s not always easy to decide what you need to get done first. Tools like the Eisenhower Matrix and the 80/20 rule give you a system to determine what order to work through your tasks in.

The Eisenhower Matrix is a simple tool for deciding what to work on first. It sorts your tasks into four categories based on urgency and importance. It’s named after President Dwight D. Eisenhower, who famously said, “What is important is seldom urgent, and what is urgent is seldom important.”

How to Use the Eisenhower Matrix:

  1. Draw a 2x2 grid (four boxes).
  2. Label the rows: "Important" and "Not Important."
  3. Label the columns: "Urgent" and "Not Urgent."

Now, sort your tasks into these four quadrants:

  • Top Left (Urgent & Important): Do these tasks right away! They’re your top priority.
  • Top Right (Important but Not Urgent): Schedule these tasks for later. They’re important for long-term goals but don’t need immediate attention.
  • Bottom Left (Urgent but Not Important): Delegate these tasks if possible—they’re time-sensitive but don’t require your attention.
  • Bottom Right (Not Urgent & Not Important): Eliminate these tasks. They’re distractions that don’t add value.

Using this matrix, you’ll focus on what matters and avoid wasting time on low-priority tasks!

80/20 Rule

The 80/20 rule, also called the Pareto Principle, is a simple idea that says 80% of your results come from just 20% of your efforts. In other words, a small number of things you do significantly impact your success.

How to Use the 80/20 Rule:

  1. List out your tasks or activities.
  2. Look for the few tasks that bring the most results. For example, which customers bring in most of your sales? Which daily actions move your business forward the most?
  3. Focus your time and energy on those high-impact tasks.
  4. Cut back or delegate the less important stuff that doesn’t make much difference.

Using the 80/20 rule, you’ll spend more time on what matters and get better results with less effort!

Establish Routines and Rituals
